Appointing a Postdoc
Offer Letters
All new postdoctoral appointments are to be made in writing by an offer letter from the Department Chair or the appropriate Dean/designee. Generally, the appointment letter should be sent out two to three months prior to the start date of the appointment. The departments/responsible units must use the standard postdoctoral appointment letter templates provided by Human Resources and should not make any changes to the offical offer letters posted on the website. These are available at the Human Resources - Forms Library (click on "O" and find the specific position letter).
Funded Position Codes (E&G, Auxiliary accounts, research grants, fellowships, training grants, etc.) - eligible for benefits:
- 9180-08 Postdoctoral Scholar - Research
- 9194-08 Postdoctoral Scholar - Clinical
- 9195-08 Postdoctoral Scholar - Instructional
Non-Funded Position Codes (paid directly from external funds, such as a country or corporation) - not eligible for benefits:
- 9180-96 Postdoctoral Scholar - Research
- 9194-96 Postdoctoral Scholar - Clinical
International Candidates - If the postdoctoral scholar will require a visa to enter the US, the department will need to start the online J-1 Scholar Application process at least 3 - 6 months prior to the expected start date. Click here for detailed instructions.
