Quick Tips

To initiate a course or curriculum proposal, please...

  • Select the correct proposal form
  • Submit separate proposals for course and program changes
  • Include all proposed revisions to a given program within one proposal per catalog year
  • Adhere to deadlines to increase chances of reaching approval in time for next Catalog
  • Review all edits to course or program before launching proposal
  • Upload attachments before launching proposal
  • Utilize the ‘Watch List' to monitor progress of proposals of interest
  • Look for Curriculog notifications that arrive via email
  • Address each review provided by the committee or reviewer before pushing the proposal to the next step in the approval workflow process
  • Utilize user guides, training videos, and in-person training

Please try not to...

  • Combine edits to courses and program in one proposal
  • Add new, unapproved courses to program proposals without first submitting the new course proposals (Note: these proposals can be submitted concurrently)
  • Assume that mentioning a course change within a program revision proposal will update that course
  • Wait until the Spring semester to start proposals for the upcoming Fall semester

General

What items in the Catalog need to be approved by the Undergraduate or General Education Councils through Curriculog?

The faculty has primary responsibility for degree requirements, admission standards, curricula and new program development. For academic departments and colleges, degree requirements, programs, and courses require faculty approval at various levels. This is necessary to allow faculty review of changes within their purview, to ensure that changes do not impact curricula, resources, or students in unanticipated ways, and to provide necessary notification to appropriate offices and units following modifications (e.g., Registrar Office (Banner), DegreeWorks, Office of Admissions, advisors, etc.).

How do I propose a new degree program?

Information on the process for proposing a new degree program can be found at the Office of Academic Planning. Please contact Cynthia Brown-Hernandez at cynthiab@usf.edu.

What is the responsibility of the Undergraduate Studies Curriculum Team in this process?

  • The Undergraduate Studies (UGS) Curriculum Team is responsible for analyzing, facilitating, monitoring, and implementing changes in the Undergraduate catalog as approved by governing bodies.

  • The UGS Curriculum Team provides training and support for the Curriculog Course and Curriculum Proposal system, as well as maintenance and administration of the system.

Why should I discontinue a course or remove an attribute?

If a course is no longer being used and there are no plans to offer it in the foreseeable future, the course should be discontinued using the Course or Attribute Discontinue Proposal Form.

If a General Education attribute is to be removed from a course, the Course or Attribute Discontinue Proposal Form would be used.

The minimum qualifications for the instructor, using SACSCOC language, can be represented by the following examples:

  • Doctorate or master's degree in [fill in the teaching discipline] or master's degree with a concentration in [fill in the teaching discipline] (a minimum of 18 graduate semester hours in the teaching discipline).

As examples for undergraduate courses:

  • Doctorate or master's degree in information technology or a related discipline, or master's degree with a concentration in information technology or a related discipline (a minimum of 18 graduate semester hours in the teaching discipline).
  • Doctorate or master's degree in Computer Science or master's degree with a concentration in Computer Science (a minimum of 18 graduate semester hours in the teaching discipline).
  • Doctorate degree in Mechanical Engineering discipline is required to deliver this proposed course.

Curriculog

What are Acalog and Curriculog?

  • Acalog is the catalog management system which houses curriculum and course data.

  • Curriculog is the course and curriculum proposal system for changes and additions of curricular data to Acalog.

These two systems work together and provide data to the student information systems (Banner and DegreeWorks) to ensure accuracy of our program requirements, course descriptions, and related degree information.

How do I get access to Curriculog?

All USF faculty and staff are granted access to originate a proposal in Curriculog.

To optimize the Curriculog experience, it is best to use Firefox or Chrome as your browser. You can access the Curriculog system at https://usf.curriculog.com/ and then click login in the upper right corner.

How do I request a change to my role(s) or my committee assignments in Curriculog?

If your role or committee assignment change is not reflected in Curriculog, then contact UGS-DOCurriculum@usf.edu.

How can I recieve messages on all proposals on all steps I am involved in from Curriculog?

When you log into Curriculog you can adjust your preferences to be notified for actions on all proposals you are involved in, even if you’re not involved on the current step.

  1. Hover your mouse over (or clicking on) your name in the top left.
  2. Click on "My Settings."
  3. Click on your username in the main section of the screen to open your settings on the right.
  4. Scroll down to the "Process" option below "Email Options."
  5. Choose "Send messages for proposals in which I am involved only.
  6. Click "Save Preferences."

Why is Curriculog necessary?

  • USF is committed to providing a process for course and curriculum approvals and catalog publication and maintenance in an efficient and integrated system.

  • Curriculog pushes approved course and curriculum items into the catalog (Acalog) reducing errors and saving manual entry.

  • Curriculog provides reports for academic planning.

How does Curriculog work?

  • Curriculog includes a set of forms and routing processes for review and approval by the College, Registrar's Office, Undergraduate Studies, Administrative Offices, Undergraduate or General Education Councils, and the State Course Numbering System (SCNS). Once approved, Curriculog provides data to Banner and DegreeWorks.

  • With Curriculog, faculty choose the form based on the type of action desired (e.g., create a new course, make changes to an existing program), and once the form is complete, it will be routed to the approvers in the queue.

  • Once a course or curriculum proposal is approved, it is automatically ready for the next version of the Undergraduate catalog.

How does Curriculog align with the other curricular initiatives at the University?

  • The implementation of Acalog/Curriculog is an important component to USF's Student Success initiatives, and is aimed at improving the student experience and bolstering student retention and degree completion.

  • The curricular components of Curriculog involve a comprehensive effort to clarify degree requirements and expectations for students and to identify and mitigate barriers to successful graduation both in terms of program design and student performance.

  • Acalog/Curriculog serve to organize courses and curriculum in a central database which then serves as a repository to generate other related documents such as: Academic Plans of Study, Degree Maps, and Degree Audit.

Course and Curriculum Timing and Deadlines

Can proposals be submitted throughout the year?

No. There are deadlines each year by which you submit a proposal before the system closes for the next catalog cycle.  Please see the calendar and deadlines page.

Can changes continue to be made through the Spring semester for implementation the following Fall?

  • All changes, regardless of size and scope, must follow the established deadlines for the process to be effective.

  • Proposals can be submitted until the time the system closes for the next catalog cycle. Please see the calendar and deadlines page.
  • Revisions to courses and curriculum must be approved before the production of the Undergraduate catalog in March prior to the opening of registration for the Summer & Fall semesters.

  • Proposals approved after the published deadline date (last week of March) will not be published in the catalog until the next catalog cycle.

Why are course and curriculum process deadlines necessary?

USF has developed processes and systems for managing curriculum for the need to carefully manage curriculum at a large Research 1 University for student success. The establishment of deadlines for the course and curriculum process helps to improve:

  • Departments' and Colleges' planning process.
  • Registrar Office's deadlines for registration and Banner updates.
  • DegreeWorks' deadlines for registration and system updates.
  • Administrative Offices' (e.g., Undergraduate Research, Study Abroad, Community Engaged Learning, etc.) review of General Education attributes for planning, course consistency, and academic rigor.
  • Academic planning for students and advisors who use the catalog to plan their course schedules.

What happened to the former course proposal system?

The former proposal system has been archived. Course proposals can be found in USF's Legacy Course Proposal system, which may be accessed at: https://academicplanning.usf.edu/proposals/tracking/courses.
